Our Commitment to Safeguarding

Executive Chauffeur is committed to the safeguarding and welfare of all passengers who travel with us, with particular attention to the protection of children, vulnerable adults, lone travellers and high-profile individuals. This policy sets out the standards we maintain and the responsibilities of every driver and member of staff who represents Executive Chauffeur.

We believe that everyone who uses our service has the right to do so in safety, with dignity and with confidence that their wellbeing is our first consideration. This policy applies to all Executive Chauffeur drivers, subcontractors and administrative staff.

Driver Vetting and Compliance

All Executive Chauffeur drivers undergo enhanced Disclosure and Barring Service (DBS) checks before joining our service. DBS checks are renewed regularly and any change in a driver’s DBS status is addressed immediately. Every driver holds a valid Private Hire Vehicle licence issued by the relevant local authority, and all licences are monitored for renewal and compliance.

Our drivers are professional, trained and experienced. We do not use agency drivers or unvetted subcontractors for passenger-facing bookings without prior client consent and full compliance verification.

Children and Young Persons

When transporting children or young persons, Executive Chauffeur requires written authorisation from a parent or legal guardian for any journey where the child travels unaccompanied. We will not accept a booking for an unaccompanied minor without explicit written consent detailing the collection address, destination, and the name of the responsible adult at the destination who will receive the child.

Drivers transporting children or young persons will not deviate from the agreed route without prior authorisation from the booking adult. Any concern about the welfare of a child passenger will be reported immediately to the appropriate authority. Appropriate child car seats are provided upon request and are fitted correctly before the journey commences.

Vulnerable Adults

We recognise that some of our passengers may be elderly, have physical or cognitive disabilities, or be in circumstances that make them temporarily vulnerable. Our drivers are trained to provide additional assistance where required — including help with boarding and alighting, luggage handling, and patient, unhurried communication.

Where a booking is made on behalf of a vulnerable adult, we ask that the booking party provides any relevant information that would help our driver provide the most appropriate level of assistance. This information is held securely and shared only with the assigned driver on a need-to-know basis.

If a driver has a concern about the welfare of a passenger during or after a journey, they are required to report that concern immediately to the Executive Chauffeur office. Where there is an immediate risk to a passenger’s safety, drivers are instructed to contact emergency services without delay.

Lone Travellers

Executive Chauffeur takes the safety of lone travellers — whether male or female — seriously. All journeys are tracked via GPS. Drivers confirm arrival and departure at each journey point. Our booking system records the full details of every journey, including passenger name, collection and destination addresses, and scheduled times, which can be made available to the passenger or an authorised contact on request.

Passengers travelling alone may request a safety confirmation call or message at the end of their journey. Any lone traveller who feels uncomfortable at any point during their journey is encouraged to contact our office directly on the number provided at the time of booking.

Passenger Confidentiality

Executive Chauffeur operates on the basis of absolute discretion. The identity, destination and travel details of all passengers are treated as strictly confidential. Driver conversations remain confidential. We do not discuss the identity or movements of any passenger with third parties under any circumstances, and our drivers are instructed never to disclose passenger information, even in social contexts.

Our data practices comply with the UK General Data Protection Regulation (UK GDPR). Passenger data is held securely, used only for the purposes of delivering the service booked, and retained only for as long as legally required. A full privacy policy is available on request.

High-Profile and VIP Passengers

We regularly serve passengers who require a heightened level of discretion and security awareness. Our drivers understand the importance of not discussing the identity or movements of high-profile clients, avoiding unnecessary communication during journeys, and managing arrival and departure logistics in a manner that minimises exposure. Any specific security requirements should be communicated at the time of booking and will be treated in strict confidence.

Reporting Concerns

Any driver, staff member or passenger with a safeguarding concern should raise it immediately. Concerns can be reported directly to the Executive Chauffeur office by telephone at any time. Where a concern involves an immediate risk to life, emergency services should be contacted first on 999.

We take all safeguarding concerns seriously. Reports will be handled promptly, confidentially and in accordance with our obligations under relevant legislation, including the Children Act 1989, the Care Act 2014 and the Safeguarding Vulnerable Groups Act 2006.

Policy Review

This safeguarding policy is reviewed annually and updated as required to reflect changes in legislation, best practice or the nature of our service. The current version was last reviewed in May 2026.
